Sample Show Cause Letter



This is one version of a Sample Show Cause Letter. It is on misconduct or misbehavior.

In cases of misconduct you need to issue a show cause letter to the employee concerned. This is to comply with the requirement of the principles of natural justice.

You can make amendments to the sample show cause letter shown below for this purpose.

It does not matter whether you have a written policy on this or not. This is for the protection of your organization.

Do the same when an employee does not show any industry in the performance of his or her job even after you have given counseling and a letter advising him or her to improve performance. This is a breach of the employment contract.

In view of the gravity of the alleged misconduct, you are suspended at full pay for a period of fourteen days (or some other duration).

You are hereby required to show cause in writing by ............ (state date giving at least 7 days for employee to prepare and submit his / her reply) why disciplinary action should not be taken against you.

Please note that this suspension is not a punishment. It is to facilitate management's investigation into the alleged misconduct and also to allow you the opportunity to present your case.
